Real Estate Coordinator II - Mattress Firm
The Remote Real Estate Coordinator II provides administrative, transactional, and project coordination support for Mattress Firm’s retail real estate operations. This role manages lease transaction workflows, Real Estate Committee processes, portfolio records, reporting, and communication across Real Estate, Legal, Finance, Construction, Operations, landlords, brokers, counsel, and third-party partners.
The position coordinates lease transactions for new stores, renewals, relocations, amendments, closures, and other real estate initiatives. Responsibilities include preparing Real Estate Committee materials, approval documents, transaction proformas, budgets, and supporting information; managing transactions from approval through lease execution; coordinating legal reviews and document execution; tracking contracts and maintaining accurate transaction records; and monitoring portfolio metrics, asset management savings, invoices, and recurring reports.
The coordinator facilitates communication between internal teams and external partners to keep transactions and projects on schedule. The role also identifies process improvements, manages general Real Estate email inboxes, develops templates and tracking tools, maintains standard operating procedures, researches historical lease and portfolio information, and supports department projects and continuous improvement initiatives. The position requires professional communication, accurate recordkeeping, timely completion of required training, and compliance with company policies and safety standards.
A bachelor’s degree in Business, Real Estate, Finance, Operations, Project Management, or a related field is required, or an equivalent combination of education and relevant experience. Candidates should have at least 3 years of experience in commercial real estate, lease administration, portfolio administration, project management, transaction management, or a related field. Experience with large multi-unit retail portfolios, cross-functional project coordination, databases, reporting tools, contract administration systems, executive presentations, lease renewals, relocations, closures, or portfolio initiatives is preferred.
The ideal candidate has advanced Microsoft Excel and PowerPoint skills, excellent organizational and project management abilities, strong attention to detail, and the ability to manage multiple priorities and complex workflows. Strong written and verbal communication, meeting facilitation, documentation, follow-up, problem-solving, and process improvement skills are essential. Candidates should be able to work independently, drive tasks through completion, build relationships across departments, and turn complex information into concise, actionable updates.
The role requires strong knowledge of commercial real estate and lease terminology, familiarity with retail portfolio management processes, and an understanding of lease lifecycle management, including renewals, option notices, relocations, and closures. Familiarity with Lucernex, lease administration systems, reporting platforms, and portfolio management tools is preferred.
