Assistant Property Manager - BXP
The Assistant Property Manager supports the day-to-day operations of assigned properties, ensuring operational issues are resolved efficiently and tenants receive a high level of service and satisfaction. The role works closely with tenants, vendors, building staff, Property Managers, and internal departments.
Key Responsibilities
Manage tenant work orders and coordinate with building staff and vendors to ensure timely completion.
Assist with RFPs, contracts, purchase orders, budgets, accruals, reforecasts, and budget variance reporting.
Monitor service contractors to ensure contract requirements, insurance, and documentation are maintained.
Review maintenance programs and recommend improvements to increase operational efficiency.
Identify opportunities to increase tenant service income.
Manage tenant electric meter readings, invoicing, and annual reconciliations.
Assist with invoice review and processing.
Build strong tenant relationships through proactive communication, meetings, and follow-up.
Coordinate tenant orientations, move-ins, and move-outs, including insurance certificates, signage, inspections, and closeout activities.
Coordinate tenant warden training and evacuation drills.
Respond to site emergencies and participate in emergency response procedures.
Regularly inspect tenant spaces, common areas, building systems, and grounds to maintain property standards.
Coordinate with janitorial, security, engineering, accounting, leasing, construction, and other teams to deliver efficient tenant services.
Support construction activities, tenant improvement meetings, and building service shutdowns.
Maintain knowledge of company databases and reporting systems.
Support property showings and ensure vacant spaces are ready for prospective tenants.
Work with Marketing to coordinate tenant events, promotions, and activities that enhance the property experience.
Attend relevant industry conferences and conventions.
Perform other duties as assigned.
Qualifications
Bachelor’s degree in Business Administration, Real Estate, or a related field required.
2-5 years of property management experience preferred.
RPA or CPM coursework and LEED-related education preferred.
Knowledge of operating costs, budgeting, and expense management.
Proficiency with Microsoft Office; JD Edwards experience preferred.
Familiarity with ADA and OSHA requirements preferred.
Strong organizational and prioritization skills.
Excellent written, verbal, and interpersonal communication skills.
Ability to manage multiple priorities, work independently, solve problems creatively, and meet deadlines.
Ability to work effectively under pressure and as part of a team.
Physical Requirements
Ability to work at a computer and perform general office duties.
Ability to walk throughout properties, climb stairs, and inspect tenant and building areas.
Ability to bend, reach, crouch, and occasionally climb ladders.
Ability to move between departments and work locations as needed.
Ability to work in varying indoor and outdoor temperatures and occasional exposure to noise, vibration, and dust.
Ability to read printed materials, computer displays, and property inspection information.
Regular use of hands and fingers for typing and writing and ability to communicate verbally.
Reporting and Compensation
This position reports to a Property Manager or Senior Property Manager and works closely with tenants, employees, vendors, and the public.
Salary: $79,310-$107,000 annually, plus potential discretionary bonus and comprehensive benefits, including medical and dental coverage, retirement savings with company match, backup childcare, educational assistance, employee support programs, and commuter transit assistance.
