  • Service Providers: With trusted third-party infrastructure vendors who perform services on our behalf (e.g., cloud hosting, analytics, storage) under strict confidentiality agreements.
  • Legal Requirements: If required by applicable law, subpoena, or to protect the rights, property, or safety of WorkNation, our users, or the public.

5. Google API Services & HireMail Gmail Integration (Limited Use Disclosure)

WorkNation offers an optional outreach feature called HireMail that allows candidates to connect their personal Google account to send direct 1-on-1 job applications to verified recruiters. We are committed to complete transparency regarding Google user data:

Google Scopes Requested

When connecting your Google account, WorkNation requests only the following permissions:

  • https://www.googleapis.com/auth/userinfo.email — to identify and display your connected sender address.
  • https://www.googleapis.com/auth/userinfo.profile — to personalize your sender identity and name.
  • https://www.googleapis.com/auth/gmail.send — to transmit 1-on-1 outreach emails you compose and approve.

Strict Send-Only Access — Zero Inbox Reading

WorkNation strictly enforces Send-Only access. We do not request, access, view, scan, index, search, or store contents of your personal inbox, received emails, or correspondence with other contacts.

Prohibition on AI/ML Model Training

Google Workspace APIs are not used to develop, improve, or train generalized AI and/or ML models. WorkNation explicitly affirms that data obtained through Google Workspace APIs (including email addresses, profile data, transmission metadata, and OAuth tokens) is never used to develop, improve, or train generalized, non-personalized, or personalized artificial intelligence (AI) and/or machine learning (ML) models.

Transfer of User Data to Third-Party AI Services

Neither raw nor aggregated or anonymized user data obtained through Google Workspace APIs is ever transferred to third-party artificial intelligence or machine learning services, model brokers, or external AI tools for model training, improvement, or fine-tuning purposes.

Architectural Data Isolation

WorkNation's AI-assisted features (such as resume scoring and draft outreach copy assistance) operate exclusively on candidate-provided inputs (such as candidate resumes, uploaded portfolios, and public job listing descriptions) and are executed before and independently of any Google API interactions. At no point is Google Workspace API data ingested by, transferred to, or processed within any external AI model training pipeline.

No Selling or Unauthorized Transfer

We do not sell, rent, license, or transfer Google user data to any third parties, advertising networks, data brokers, or information resellers under any circumstances.

Google API Limited Use Compliance

WorkNation's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Token Retention & Revocation

OAuth access and refresh tokens are securely encrypted and stored solely to dispatch outreach on your behalf. You can disconnect your Gmail account at any time in HireMail Profile Settings, which immediately deletes all stored tokens from our database. You may also revoke WorkNation's access at any time via your Google Account Security Settings.

6. Data Security

We implement industry-standard encryption and security measures to protect your data in transit and at rest. However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee its absolute security.

7. Your Rights

Depending on your location, you may have certain rights regarding your personal data, including the right to access, export, correct, or delete your information.

You can manage your profile settings through your account dashboard or contact us directly to exercise your data rights.
