Summary and responsibilities

Role overview

Summary

This role involves overseeing general office operations, coordinating appointments and meetings, and managing supplies. The assistant will also support the Director with presentations, manage real estate properties, process payments, and maintain various databases and records.

Duties/Responsibilities

  • Oversee general office operations

  • Coordinate appointments and meetings

  • Delegate assignments to staff as appropriate, to ensure maximum productivity

  • Manage requisition of supplies and equipment and maintain proper stock levels

  • Assist in producing reports and/or compose office correspondence

  • Assist with travel arrangements and expense reports for staff, as applicable

  • Assist Director in preparation of meeting presentations

  • Assist in managing real estate properties by monitoring rental income payments, real estate expenses and processing annual Ad Valorem property tax statements for payment

  • Assist in preparation of monthly and quarterly Rocker b Ranch reports

  • Assume responsibility of Oil and Gas Assistant in his/her absence

  • Manage and maintain integrity of all real estate files, analysis reports and Access database records

  • Manage and maintain integrity of QuickBooks database and produce monthly and ad hoc reports

  • Manage and maintain tracking system for items placed in off-site storage location

  • Manage requests for information in absence of Director and Real Estate Coordinator

  • Responsible for processing Oil and Gas surface related invoices and payments for the Rocker b Ranch utilizing QuickBook application

Required Skills/Abilities

  • High School Diploma or equivalent required

  • 1-3 years real estate experience

  • Proficient in Microsoft Office, TEAMS, and QuickBooks

  • Must have strong attention to detail
