Role overview

Summary

The Assistant Property Manager supports the Property Manager in the day-to-day management and operation of an apartment complex, including tenant care, marketing, leasing, and financial support. This role involves coordinating maintenance, handling tenant relations, and ensuring property standards are met. The ideal candidate will work closely with the Property Manager and utilize AppFolio software.

The Opportunity and Overview An exciting opportunity to join a leading entrepreneurial management company as a full-time salaried Assistant Property Manager with job growth potential. Working closely with the Property Manager, this role helps oversee a highly maintained 189-unit luxury property in Downtown Akron. The Assistant Property Manager supports day-to-day operations across tenant care, marketing, leasing, financial and administrative support, reporting, budgeting assistance, AppFolio software management, and maintenance coordination (repairs, renovations, security, janitorial, landscaping, and snow removal). This role collaborates with the management team, vendors, contractors, maintenance staff, and residents to ensure efficient operations and compliance with lease terms and company policies.

Specific Duties

  • Leasing and Marketing: Follow up on leads, schedule tours, overcome objections, and assist with the leasing process from inquiry through move-in to maintain low vacancies. Update social media, website, and advertising platforms with accurate pricing, specials, and availability.

  • Resident Relations and Retention: Deliver responsive, professional tenant service. Address complaints and service requests, generate and track work orders, and follow up to ensure resolution. Administer move-ins (including onboarding letters covering emergency contacts, insurance, rent, and maintenance procedures), move-outs, and lease renewals to meet retention goals.

  • Operations and Maintenance: Assist in implementing the Property Management Plan, Preventative Maintenance Policies, and Operations Manual. Coordinate maintenance, repairs, renovations, landscaping, snow removal, janitorial services, and emergency coverage. Conduct periodic property and unit inspections for lease compliance and upkeep, communicating issues promptly to the Property Manager.

  • AppFolio and Records: Maintain accurate property and tenant lease files, correspondence, and notes. Enter and maintain property data in AppFolio, monitor key dates, and follow reporting protocols.

General and Administrative Duties

  • Maintain clerical, filing, record-keeping, and quick-reference property information systems, as well as contact databases.

  • Assist in preparing monthly, annual, and lender reports, expense reports, and transaction documents.

  • Obtain repair estimates/bids, prepare purchase orders for management approval, and generate and track Service Orders.

  • Maintain office supply inventory, coordinate regular business property inventories, and schedule appointments, meetings, and conference calls.

  • Provide day-to-day operational support and coverage for the Property Manager as needed.

Financial Duties

  • Collect, deposit, and record all check and online rent payments in AppFolio in a timely manner.

  • Verify, sort, code, and schedule vendor invoice payments against approved Service Orders or contracts, recording all income and expense transactions in AppFolio.

  • Read meters and calculate tenant utility bill-backs when applicable.

  • Complete weekly management reports, assist corporate accounting with property and vendor inquiries, monitor income and expenses for discrepancies, and identify cost-reduction opportunities.

Scope of Responsibility and Authority The Assistant Property Manager supports the Property Manager in implementing company policies, environmental health and safety standards, and quality operations to meet the Owner's goals, and may assume additional operational duties in the Property Manager's absence. While assisting with maintenance and contractor coordination, this role does not hold final authority over major property decisions, expenditures, or personnel matters unless specifically authorized.

Qualifications and Requirements

  • 3+ years of directly relevant multifamily property management experience preferred; previous leasing, administrative, or customer service experience is a plus.

  • Bachelor's degree preferred, or an equivalent combination of education and experience.

  • Proficiency in MS Word, PowerPoint, Outlook, Excel, and general office equipment; familiarity with AppFolio is a plus.

  • Strong oral and written communication, interpersonal, multitasking, and prioritization skills.

  • Dependable, proactive, and flexible, with the ability to maintain strict confidentiality, take direction, and work independently.
