Property Management Administrative Coordinator
We are seeking a detail-oriented Property Management Administrative Coordinator to support daily office operations, accounts payable and receivable, tenant administration, vendor coordination, and property management projects. The ideal candidate is organized, professional, customer-focused, and comfortable managing multiple priorities in a fast-paced environment.
Key Responsibilities
Open and close the property management office, operate office equipment, and ensure the office is secure and organized.
Answer calls promptly, greet visitors, handle deliveries, and distribute mail and correspondence.
Maintain clean and organized workspaces, waiting areas, kitchen, and conference rooms.
Prepare correspondence, memos, notices, and other administrative documents.
Maintain accurate tenant, vendor, lease, and property files.
Code and process invoices and accounts payable.
Track operating expenses against budgets and ensure expenses are processed within the appropriate budget period.
Review rent rolls, recurring charges, lease changes, and account balances for accuracy.
Apply cash deposits, coordinate collection issues, and resolve account discrepancies.
Prepare monthly tenant bill-backs for utilities, work orders, labor, and after-hours HVAC.
Prepare and review tenant statements, manual invoices, escalation reconciliations, and related correspondence.
Respond professionally to tenant questions regarding accounts and property services.
Prepare vendor contracts, construction contracts, service orders, RFPs, and bid comparison worksheets.
Assist with competitive vendor bidding and proposal coordination.
Prepare new tenant packages and establish and maintain tenant lease files.
Process tenant service requests through phone, email, or property management systems and follow up on maintenance work orders.
Maintain accurate tenant contact information and monthly janitorial reports.
Issue tenant keys and access cards, maintain security access records, and process related tenant charges.
Coordinate tenant signage and maintain current certificates of insurance for tenants and vendors.
Track insurance expiration dates and follow up on required renewals.
Record utility meter readings and prepare tenant utility charges.
Assist the Property Manager with annual budgets, operating expense reconciliations, tax escrows, and other special projects.
Qualifications
Bachelor’s degree preferred, ideally in Business Administration, Real Estate, Accounting, or a related field.
1-2 years of experience in real estate or property management preferred.
Strong verbal, written, organizational, and customer service skills.
Intermediate to advanced proficiency in Microsoft Word and Excel.
Experience with financial systems or property management software is a plus. Yardi, Building Engines, or Argus experience preferred.
Strong attention to detail, accuracy, and ability to manage confidential information.
Ability to prioritize multiple tasks, meet deadlines, and perform effectively under pressure.
Professional phone and communication skills with owners, tenants, vendors, and coworkers.
Strong problem-solving, decision-making, and conflict-resolution skills.
Self-motivated, adaptable, dependable, and committed to maintaining high professional standards.
Ability to work collaboratively while handling responsibilities independently.
Excellent attendance and reliability are required.
