Summary and responsibilities

Role overview

Summary

The Property Assistant at Camelot provides daily support for property management operations, tenant relations, vendor management, and accounting processes for a client's property. This role acts as the operational hub, handling work orders, coordinating services, and maintaining financial and compliance records.

Camelot is looking for a Property Assistant who will provide day-to-day support for our client’s property management operations, tenant relations, vendor management, and accounting processes. This role is the operational hub for our client’s property — responding to work order requests, coordinating site services, keeping financial and compliance records current, and ensuring tenants, vendors, and internal teams have the information and support they need.

The ideal candidate is organized, responsive, and detail-oriented, with strong communication skills and the ability to track multiple priorities at once without letting follow-through slip.

Key responsibilities

  • Property management operations

    • Support day-to-day client property management operations to ensure the client property is maintained to a high standard.

    • Conduct client property inspections, document findings, and follow up on issues identified during inspections.

    • Respond to incoming work order requests in a timely, professional manner, keeping requesters informed of status.

    • Submit work orders accurately and completely, and track them through to completion.

  • Accounting support

    • Prepare and process requisitions and purchase orders (POs) in accordance with company/client procedures.

    • Complete credit card reconciliations, ensuring charges are supported, coded correctly, and submitted on schedule.

    • Support budget allocation by tracking costs against the correct budget lines and flagging variances.

    • Review and action the weekly report on open purchase orders — following up on outstanding items, closing completed POs, and escalating aged or blocked items.

  • Tenant relations

    • Serve as a liaison with client tenants for site service needs, responding promptly and coordinating resolution.

    • Support badging requests, including intake, processing, and coordination with client tenants and site security as applicable.

    • Coordinate client tenant events, including planning support, communications, scheduling, and day-of logistics.

  • Vendor management

    • Track certificates of insurance (COIs) and vendor compliance, requesting updated documents before expirations lapse.

    • Initiate contract renewals and track renewal timelines so services continue without interruption.

    • Draft agreements and renewals for review and approval.

    • Coordinate vendors for scheduled and ad hoc work, including scheduling, site access, and follow-up on deliverables.

  • Administrative duties

    • Update internal trackers and folders, keeping records accurate, organized, and easy to retrieve.

    • Maintain the internal operations calendar, including inspections, vendor visits, events, and key deadlines.

    • Take notes for meetings, capturing decisions, action items, owners, and due dates, and distribute them as directed.

Requirements

  • Strong organizational skills and attention to detail, particularly with financial, compliance, and tracking documents.

  • Clear, professional written and verbal communication skills for working with tenants, vendors, and internal teams.

  • Ability to prioritize and manage multiple requests at once in a fast-paced, service-oriented environment.

  • Proficiency with standard office software, including email, spreadsheets, calendars, and document management tools; experience with work order, purchasing, or property management systems is a plus.

  • A customer-service mindset, sound judgment, and discretion when handling tenant, vendor, and financial information.

  • Experience in property management, facilities, operations, or administrative support is preferred.
