Summary

The Project Manager at UG2 is responsible for the oversight and execution of daily operations within the Facilities & Grounds Department at the Fashion Institute of Technology (FIT). This role involves providing leadership, technical support, and operational oversight for skilled trades personnel, ensuring efficient delivery of maintenance services, capital projects, and regulatory compliance across the campus.

Project Manager – Facilities & Grounds

Reporting to the Facilities Manager, the Project Manager oversees the daily operations of the UG2 Facilities & Grounds Department at the Fashion Institute of Technology (FIT). The role provides leadership, technical support, and operational oversight for maintenance personnel while ensuring the efficient delivery of maintenance services, capital projects, regulatory compliance, and campus operations. This position is designated as Essential Personnel and requires availability to respond to emergencies outside normal business hours.

Essential Responsibilities

Operations Management

  • Supervise daily operations of mechanical maintenance and engineering staff.

  • Manage a union workforce responsible for preventive maintenance, repairs, and capital projects involving mechanical, electrical, and plumbing (MEP) systems.

  • Coordinate work assignments through Building Engines CMMS.

  • Supervise employees, contractors, and vendors performing maintenance, repairs, installations, inspections, and compliance work.

  • Ensure work is completed safely, efficiently, and in accordance with established standards.

Project Management

  • Plan, coordinate, and oversee maintenance and capital improvement projects from initiation through completion.

  • Manage project schedules, budgets, materials, equipment, contractor performance, and quality standards.

  • Prepare project documentation, operational reports, and performance updates.

Residence Hall Operations

  • Direct annual residence hall turnover activities.

  • Inspect vacant housing units and coordinate repairs and contractor schedules.

  • Ensure student residences are completed before occupancy while maintaining project budgets and timelines.

Maintenance & Technical Oversight

  • Support preventive and corrective maintenance programs involving pumps, piping, heating systems, HVAC equipment, mechanical systems, and related infrastructure.

  • Review work orders, identify service deficiencies, and implement corrective actions to maintain operational standards.

Regulatory Compliance

  • Ensure compliance with OSHA and applicable federal, state, and local regulations.

  • Coordinate resolution of DOB, DEP, and FDNY violations.

  • Support campus safety initiatives and regulatory inspections.

Administrative Duties

  • Manage Building Engines CMMS work orders and workflow.

  • Administer payroll through E-Pay.

  • Maintain key control systems.

  • Support energy management initiatives.

  • Maintain maintenance records, reports, and project documentation.

  • Manage billable work, labor, materials, and contractor cost recovery.

Emergency Response

  • Serve on the campus Emergency Response Team.

  • Respond to emergencies, severe weather events, institution closures, and other operational incidents as needed.

Required Knowledge
Working knowledge of Building Management Systems (BMS), HVAC systems, centrifugal chillers, chilled water systems, cooling towers, fire protection systems, standpipes, plumbing, electrical distribution, air handling units, temperature controls, emergency generators, life safety systems, environmental systems, elevators, and related building infrastructure.

Minimum Qualifications

  • Bachelor's degree required.

  • Three to five years of progressively responsible experience in facilities operations, maintenance, engineering, or a related field.

Preferred Qualifications

  • Strong knowledge of mechanical, refrigeration, plumbing, and electrical systems.

  • Experience supervising union employees and contractors.

  • Strong leadership, organizational, project management, communication, and customer service skills.

  • Proficiency with Microsoft Office, Building Engines CMMS, payroll systems, Building Management Systems, energy management software, and other computerized maintenance systems.

  • Trade licenses or certifications in mechanical, refrigeration, plumbing, electrical, or related facilities disciplines are preferred.
