Assistant Property Manager
We are seeking an Assistant Property Manager to support the Property Manager with the daily operations of affordable housing communities. The role includes leasing, resident services, regulatory compliance, rent administration, office operations, maintenance coordination, and property oversight.
Key Responsibilities
Support site leadership and assume operational responsibilities when the Property Manager is unavailable.
Assist with onboarding, training, and cross-training site staff.
Provide professional and responsive service to residents, addressing inquiries, complaints, and maintenance concerns.
Assist with resident orientations, services, programs, and community events.
Maintain positive relationships with residents, Resident Council representatives, and social service partners.
Support compliance with federal, state, and local housing requirements, including Fair Housing, ADA, and FCRA.
Assist with certifications, recertifications, interim changes, and documentation for HUD, LIHTC, and other housing programs.
Support preparation for management and occupancy reviews, file audits, and physical inspections.
Show available units, assist with leasing and marketing, maintain waiting lists, and support approved marketing and resident selection plans.
Conduct market surveys and monitor competing properties as needed.
Collect and accurately record rent, fees, and security deposits.
Prepare and deliver late-rent and lease violation notices in coordination with the Property Manager.
Assist with accounts payable, accounts receivable, subsidy receivables, and tenant ledgers.
Manage front desk coverage, phones, resident inquiries, correspondence, and office administration.
Maintain accurate tenant, lease, certification, vendor, and property records.
Coordinate vendor services, supplies, maintenance schedules, work orders, and unit turnovers.
Enter and track maintenance requests using OneSite or equivalent property management software.
Conduct property and unit inspections and monitor buildings, common areas, and grounds.
Report safety hazards, resident incidents, injuries, and property issues promptly.
Assist with emergency response and on-call responsibilities when required.
Qualifications
High school diploma or GED required.
1-3 years of experience in affordable housing, leasing, property management, or site operations.
Familiarity with HUD, LIHTC, or other housing compliance programs preferred.
Illinois real estate license required, or ability to obtain an Illinois Residential Leasing License within 120 days of hire.
Valid driver’s license, current auto insurance, and reliable personal vehicle required.
Certified Occupancy Specialist (COS) or tax credit certification preferred.
ARM or CAM designation is a plus.
Experience with OneSite or similar property management software preferred.
Proficiency with Microsoft Word, Excel, Outlook, and Teams.
Strong math, recordkeeping, reconciliation, communication, and organizational skills.
Ability to maintain confidentiality and interact professionally with residents, vendors, owners, and regulatory agencies.
Must demonstrate good moral character, reliability, adaptability, and a service-focused approach.
Physical and Work Requirements
Ability to stand, walk, and sit for extended periods.
Ability to inspect apartments, buildings, grounds, common areas, and mechanical spaces.
Occasional climbing, balancing, stooping, kneeling, and lifting up to 25 pounds.
Ability to work outdoors and respond to emergencies when required.
May occasionally encounter fumes, cleaning chemicals, and moderate workplace noise.
Ability to work evenings, weekends, and emergency or on-call assignments as needed.
Reliable transportation and ability to travel between properties when required.
