Summary

The Retail Coordinator provides administrative and analytical support to the Retail team, assisting with tenant deal processing, lease documentation, and reporting. This role involves coordinating with internal departments and external tenants, managing operational workflows, and offers exposure to institutional retail real estate leasing.

The Retail Coordinator provides administrative and analytical support across the retail leasing lifecycle. This role assists with tenant deal processing, lease documentation, reporting, and coordination with internal teams, prospective tenants, and brokers. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working in a fast-paced commercial real estate environment. The position provides exposure to institutional retail real estate leasing, deal structuring, tenant strategy, and asset repositioning.

Key Responsibilities

Leasing Administration & Deal Support

  • Maintain organized digital files and document systems for LOIs, leases, amendments, and related correspondence.

  • Assist with preparing, formatting, and processing LOIs, lease agreements, and amendments.

  • Input and track deal terms in applicable internal systems.

  • Prepare leasing packages, presentations, and supporting materials for prospective tenants and brokers.

  • Coordinate documentation and communications from negotiation through execution.

Tenant & Broker Coordination

  • Communicate with prospective tenants and brokers to gather information needed for lease documentation and deal processing.

  • Research and maintain contact information for prospective tenants and retail brands.

  • Distribute leasing materials, site plans, and property information.

  • Assist with scheduling leasing meetings and preparing lease plans, market materials, and presentations.

Leasing Analytics & Reporting

  • Conduct basic analysis of tenant financial performance, including rent structures, occupancy costs, percentage rent, and deal economics.

  • Maintain leasing dashboards, deal trackers, and reporting tools.

  • Assist with monthly leasing reports and merchandising plans.

  • Track leasing commissions and maintain supporting documentation.

  • Maintain lease covenant reports and assist in monitoring tenant obligations.

Lease Review & Documentation

  • Review leases and reciprocal easement agreements to identify exclusive use clauses, prohibited uses, and key operating provisions.

  • Prepare summaries and schedules of lease provisions for internal review.

  • Assist with lease abstracts and maintain accurate lease documentation records.

Team & Operational Support

  • Coordinate internal property team calls, including agendas, materials, and meeting notes.

  • Maintain organized internal files and document repositories.

  • Assist with calendar coordination and scheduling.

  • Coordinate travel and expense reports using Concur.

  • Organize logistics for industry conferences and meetings.

  • Provide general administrative and operational support to the Retail team.

  • Assist with special projects, research, and portfolio reporting initiatives.

Qualifications

  • High School Diploma required; Bachelor’s degree preferred in Real Estate, Finance, Business, or a related field.

  • 3–5 years of experience in leasing coordination, real estate administration, or a similar support role.

  • Experience with a retail real estate owner, operator, or brokerage firm strongly preferred.

  • Proficiency in Microsoft Excel, Word, Outlook, and PowerPoint.

  • Experience with Adobe Acrobat, SharePoint, DocuSign, and similar document platforms.

  • Experience with Yardi or comparable property management software preferred.

This is a full-time position based in the firm’s Los Angeles or Scottsdale office, with occasional travel. The firm is on an exciting growth trajectory and offers an opportunity to develop within institutional retail real estate and gain exposure to leasing, tenant strategy, deal structuring, and asset repositioning.
