Summary
The Assistant Property Manager will support the day-to-day operations and management of a retail shopping center portfolio, taking on increasing ownership of assigned properties. About the Role
Reporting to the Regional Director of Property Management, the Assistant Property Manager will support the day-to-day operations of a portfolio of retail shopping centers. During training, the role will work closely with the Regional Director and gradually assume greater responsibility, including independently managing assigned properties. This position is ideal for a motivated individual looking to build hands-on experience in property management, budgeting, vendor coordination, tenant relations, inspections, and property operations.
Responsibilities
Conduct regular property inspections and report findings.
Take increasing ownership of assigned properties and independently manage less complex assets under Regional Director oversight.
Exercise sound judgment in daily operations, prioritize issues, recommend operational and financial actions, and obtain required approvals.
Serve as the primary day-to-day contact for tenants, vendors, and internal partners.
Assist with annual operating budgets and capital improvement plans.
Support vendor management by obtaining proposals, coordinating services, and monitoring performance.
Maintain accurate records of operations, contracts, service requests, and tenant communications.
Respond to tenant inquiries and service requests promptly and professionally.
Evaluate property issues, develop recommendations, and make timely decisions within the role's authority.
Monitor compliance with lease terms, property rules, and applicable regulations.
Assist with tenant move-ins, move-outs, and landlord work coordination.
Support ESG initiatives and sustainability programs.
Prepare RFPs and purchase orders and track project progress and expenses.
Collaborate with Leasing, Construction, Accounting, and other internal teams.
Support resolution of tenant and vendor disputes under Regional Director guidance.
Ensure properties meet company standards for cleanliness, safety, and presentation.
Support snow removal and seasonal maintenance planning.
Provide occasional after-hours support for urgent property matters, including leaks, pipe bursts, snow removal, and other time-sensitive incidents.
Qualifications
High School diploma required; Associate or Bachelor’s degree preferred.
1-3 years of experience in property management, property management administration/coordination, facilities management, operations, or a related field.
Basic understanding of building systems, maintenance, and vendor coordination.
Retail or commercial real estate experience preferred.
Valid Driver’s License required.
Knowledge, Skills, and Abilities
Working knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
Familiarity with property management software preferred.
Strong written, verbal, and interpersonal communication skills.
Excellent organization and time management skills with the ability to manage multiple priorities.
Strong willingness to learn, accept feedback, and take on increasing responsibility.
Ability to communicate proactively and confidently with tenants, vendors, and internal partners.
Strong problem-solving skills with the ability to anticipate and identify potential issues.
Detail-oriented, proactive, ethical, and solutions-focused.
Ability to exercise sound judgment and discretion, make practical recommendations, and recognize when approval is required.
Ability to work independently and collaboratively as part of a team.
