Role overview
Summary
The Lease Administrator will manage the day-to-day administration of ALO's retail lease portfolio, acting as a key liaison between various internal departments and external property managers. This role ensures accurate maintenance of lease documents, timely payments, and compliance with lease terms, supporting the company's expansion and financial oversight.
Lease Management
Manage internal communications related to lease executions, amendments, renewals, and terminations.
Administer retail lease agreements and ensure compliance with all applicable terms and conditions.
Oversee preparation, tracking, review, and execution of leases, renewals, amendments, extensions, and terminations.
Review lease abstracts for accuracy and ensure executed documents are properly reflected in the lease database.
Maintain a comprehensive lease database and organized electronic lease files.
Monitor critical lease dates, including expirations, renewals, rent escalations, options, and other deadlines, and proactively coordinate required actions.
Partner with abstracting and accounting teams to maintain accurate and current lease data.
Expansion Support
Collaborate with Real Estate and Legal teams to facilitate efficient lease negotiations and execution as the company expands.
Support site selection, lease negotiations, store openings, relocations, and other real estate initiatives.
Assist with reviewing and analyzing lease terms in accordance with applicable local laws and regulations.
Financial Oversight
Review rent schedules and lease-related financial obligations in coordination with Accounting.
Support budgeting and forecasting for lease-related expenses.
Coordinate timely and accurate lease payment processing.
Review and approve new real estate charges, recurring charge increases, and annual reconciliations to ensure compliance with lease terms.
Partner with tax consultants and internal tax teams regarding business rate adjustments and related matters.
Documentation and Compliance
Maintain complete and accurate lease files, including amendments, extensions, addendums, notices, and other supporting documentation.
Ensure lease administration practices comply with applicable local, regional, and international regulations and company policies.
Liaise with Legal and Landlords to resolve lease disputes, discrepancies, and other issues.
Cross-Functional Collaboration
Partner with Real Estate, Legal, Finance, Accounting, Operations, and Construction teams to support seamless lease administration, store openings, and relocations.
Provide lease summaries, analysis, and reports to senior management to support strategic decision-making and expansion planning.
Reporting and Analysis
Generate regular reports on lease status, critical dates, financial obligations, and portfolio activity.
Support lease audits, identify discrepancies and risks, and coordinate resolution.
Insurance
Coordinate with insurance providers to obtain compliant Certificates of Insurance (COIs) and provide them to Landlords.
Manage annual COI renewals and maintain an accurate COI database.
People Management
Manage outsourced and/or in-house lease administration teams, ensuring adherence to processes, controls, compliance requirements, and best practices.
Demonstrate strong understanding of outsourced lease administration processes, systems, and vendor management.
Qualifications
Bachelor’s degree in Business Administration, Real Estate, Finance, or a related field.
Minimum 5 years of lease administration experience, preferably within retail, real estate, or legal environments.
International lease administration experience is required.
Strong knowledge of international lease terms, regulations, and best practices.
Proficiency in lease management software and Microsoft Office, particularly Excel, Word, and PowerPoint.
Strong understanding of accounting and legal principles related to real estate leases.
Excellent organizational, analytical, communication, and negotiation skills.
Exceptional attention to detail with the ability to manage multiple priorities in a fast-paced environment.
Strong problem-solving skills and a proactive approach to resolving issues.
Ability to work independently and effectively collaborate with cross-functional teams and external stakeholders.
Prior people management and experience managing outsourced processes and systems required.
Willingness to take on additional responsibilities and ad-hoc projects as needed.
