Summary
This position administers certain aspects of Asset and Portfolio Management Departments by performing entry level functions. It involves coordinating and maintaining real estate tracking documents, invoicing, document signature requests, and landlord approvals. The role also focuses on building and maintaining long-term relationships with internal and external clients.
The purpose of this position is to administer certain aspects of Asset and Portfolio Management Departments by performing entry level functions as a needed. Coordinate and maintain certain aspects of the Asset and Portfolio Management Department, including but not limited to Real Estate Approval Meeting (“REAC”), Real Estate Tracking Documents, Invoicing, Document Signature Requests and Mail Distribution and Landlord Approvals & Correspondence. Maintain excellent long-term relationships with external clients such as landlords and franchisees as well as internal clients such as Accounting, Fixed Assets, RE Tax, Real Estate, Legal, Construction, Operations, Facilities and Risk.
This role requires a schedule of 4 days onsite and 1 day remote.
Responsibilities
Update and maintain new and existing physical and electronic lease portfolio files to ensure safe keeping of original documentation as required for accurate and complete records management.
Maintain an active and current records management system by creating new files and updating existing files within required time frames to allow for timely retrieval and routing of required files to constituent groups in Legal, Franchise and other departments, as well as in response to Landlords, Franchisees, their counsel, advisors and lenders.
Assist and coordinate the process for the timely execution of all portfolio-related documentation for all types of transactions. Route all documents through docusign and track completion.
Review and distribute department mail.
Assist with obtaining certificates of insurance from franchisees.
Manage the Landlord and 3rd party approval process for all remodels & other approvals as needed through:
Coordinating with RE, Legal, & Engineering on Landlord and 3rd party approvals for remodels, rebuilds, signage, and other projects requiring landlord or 3rd party approvals.
Review lease abstract to determine if Wendy’s is in the lease chain & update systems as necessary.
Searching for accurate mailing addresses, providing legal notices, and monitoring all follow-up and receipt of approvals.
Make sure all necessary LOAs and permits are signed as requested.
Maintain Surplus Real Estate Tracker and manage surplus site maintenance and invoicing. Managing the surplus invoice and supplier maintenance process from bid request through payment approval via Wendy’s maintenance system.
Manage all third-party vendor invoices that Asset Management utilizes.
Setup of cost centers for pending surplus properties.
Assist Asset Managers with REAC related items including:
Coordinate with Asset Managers to prepare agenda and packages for Real Estate Approval Meetings.
Setup and Prepare folders and real estate forms for all REAC meetings, accurately communicating financial and other critical lease information essential to Wendy’s securing the ability to continue most economically operating at each location.
Maintain REAC Tracker to give Asset Management an accurate account of all upcoming and approved renewals, amendments, etc. that were presented and approved in the REAC meetings throughout the year.
Work with Asset Managers to prepare quarterly bulk renewal list for review/approval.
Provide assistance during REAC meetings by navigating through the Agenda.
Assist in preparation of presentations for surplus, purchases and other special approvals.
Real Estate Team Reporting: Maintain team’s scorecard by reaching out to portfolio managers to obtain their monthly numbers, track all amendments, assignments, renewals, right of first refusals, and purchase options to show monthly goals and financials accomplished by the team.
