Summary

The Transaction Coordinator manages and drives the execution of commercial real estate acquisitions from initial due diligence through closing. This role involves owning document flow, budgeting and funding coordination, and communication with internal and external parties to ensure key deadlines are met.

The Transaction Coordinator (or Senior TC, commensurate with experience) manages and drives the execution of commercial real estate acquisitions from initial due diligence through closing. This role owns document flow, budgeting and funding coordination, communication with internal teams and external parties, and ensures key deadlines are met. The ideal candidate operates with a high degree of independence, proactively surfaces issues before they escalate, and takes full ownership of tasks from start to completion without prompting.


The Transaction Coordinator serves as a primary point of contact for title/escrow, legal counsel, brokers, sellers, tenants, vendors, and various internal teams throughout the transaction process.


This position works from the Denver, CO location.


Key Job Duties

  • Manage the ordering and distribution of transaction documents, due diligence materials, and third-party reports; proactively follow up with vendors and counterparties to ensure timely receipt without prompting.

  • Own and maintain internal checklists and monitor key contract dates to ensure timely execution of all deliverables; identify and raise deadline risks before they become problems.

  • Oversee internal and client approval processes, including the preparation and routing of Investment Committee materials; track outstanding approvals, escalate delays, and ensure nothing falls through the cracks between parties.

  • Collaborate with the accounting team to verify funding amounts, ensure expenses align with approved transaction budgets, review settlement statements, confirm wire instructions, and initiate wire requests.

  • Schedule and facilitate due diligence, pre-closing, and post-closing transition calls with internal and external stakeholders; prepare checklists, distribute materials in advance, and document and distribute action items following each call.

  • Prepare and distribute agreements, notices, memos, and post-closing documentation as needed.


Education Requirements

High school diploma or equivalent required; bachelor's degree preferred.


Experience Requirements

Minimum 2 years of experience in commercial real estate transaction coordination, project management, or a related function, including direct experience coordinating third-party vendors, legal counsel, and title/escrow.


Knowledge, Skills, and Abilities

  • Demonstrated ability to self-manage workload across multiple simultaneous transactions with minimal supervision; does not require frequent check-ins to stay on track.

  • Proactively identifies risks, missing items, or deadline threats and raises them before they escalate.

  • Takes end-to-end ownership of assigned tasks: initiates, follows through, confirms completion, and closes the loop independently.

  • Proven ability to manage detailed documentation and timelines in a fast-paced, deadline-driven environment.

  • Strong interpersonal and written communication skills; status updates and correspondence are clear, concise, and actionable.

  • Holds internal and external parties accountable to deadlines while maintaining professional working relationships.

  • Ability to build and maintain relationships with both internal and external stakeholders.

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
