Role Description

The Executive Assistant will provide high-level administrative support to senior leadership in a fast-paced real estate environment. This full-time, hybrid role is based in Lakewood, NJ, with a mix of in-office work and some flexibility to work from home. Day-to-day responsibilities include managing calendars, scheduling meetings, coordinating travel, and preparing meeting agendas and materials. The Executive Assistant will handle expense reports, draft and proofread correspondence, maintain organized digital and physical filing systems, and support the preparation of presentations, reports, and client documents. Additional duties include answering and routing calls, coordinating with internal and external stakeholders, assisting with special projects, and ensuring executives are prepared and informed for key meetings and deadlines.


Qualifications

  • Strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and document preparation.

  • Proficiency in handling Expense Reports and basic financial administration, including tracking reimbursements and reconciling receipts.

  • Effective Communication skills, both written and verbal, with the ability to interact professionally with clients, vendors, and internal team members.

  • Reliable Administrative Assistance capabilities, including organization, filing, data entry, and task prioritization.

  • High level of discretion and professionalism when handling confidential information.

  • Proficiency with MS Office (Outlook, Word, Excel, PowerPoint) and comfort with cloud-based tools and CRMs.

  • Strong attention to detail, time management, and the ability to manage multiple tasks and deadlines independently.

  • Previous experience supporting executives in real estate, financial services, or a related field is preferred.

  • Associate or bachelor’s degree in business, communications, or a related field is beneficial, or equivalent professional experience.
