Summary and responsibilities

Role overview

Summary

This role involves providing senior executive support directly to the CEO of Focused Energy, a rapidly growing international company in the clean energy sector. The Senior Executive Assistant will manage complex calendar and travel logistics, coordinate stakeholder engagements, and ensure efficient operational infrastructure for the CEO Office, often adapting to rapidly changing priorities.

Building a fusion company across two continents requires focus, strong relationships, and thoughtful coordination. As the most senior executive support role at Focused Energy, you will work directly with the CEO and report to the Chief of Staff as part of a closely coordinated CEO Office. While the Chief of Staff leads strategic priorities, substantive briefings, and executive alignment, you will own the operational infrastructure—including calendar management, complex travel coordination, executive administration, and stakeholder logistics. You will make independent day-to-day decisions within agreed parameters, escalate strategic conflicts when needed, represent the CEO Office to investors, ministries, partners, and board members, and help shape executive support standards across the company.

What You Will Do

  • Plan and coordinate the CEO's domestic and international travel, including complex multi-country delegations, conferences, and investor or government engagements.

  • Own itineraries, participant coordination, visas, invitations, registrations, protocol requirements, ground logistics, contingencies, and live trip adjustments.

  • Accompany the CEO internationally when needed—independently or with the Chief of Staff—and provide seamless remote support on other trips.

  • Maintain a clear overview of upcoming commitments, anticipating scheduling conflicts, preparation needs, and logistical dependencies early.

  • Coordinate the timely preparation, collation, and distribution of briefing materials in partnership with the Chief of Staff and content owners.

  • Manage administrative follow-up and communicate decisions, commitments, and emerging priorities to the Chief of Staff for strategic follow-through.

  • Build trusted relationships with investors, government ministries, agencies, partner companies, board members, and their executive offices.

  • Manage CEO Office operations, including expenses, approvals, signatures, tools, records, and contact management.

  • Establish shared standards for calendar management, travel, tools, and confidentiality across the local and international EA team.

Who You Are

  • 10+ years of executive support experience, including several years supporting a CEO, founder, or managing director in an international environment with heavy travel and calendar management (high-growth or investor environment experience is a plus).

  • Proven track record of supporting fast-moving executives, structuring changing requests, and managing complex multi-country delegation trips.

  • Strong organizational skills, sound judgment, and emotional intelligence, with the ability to partner effectively with a Chief of Staff while maintaining a direct, trusted relationship with the CEO.

  • Diplomatic and proactive, able to protect executive time, resolve competing priorities, and stay composed when plans change at short notice.

  • High discretion in handling sensitive board, investor, M&A, and personnel matters.

  • Confident with modern scheduling and collaboration tools, with an interest in using AI to streamline repetitive workflows.

  • Based in or willing to relocate to Berlin, with flexibility for international travel.

What We Offer

  • Mission and Ownership: Join a cutting-edge clean energy company with a competitive salary, stock options, and immediate ownership in an international environment of top-tier scientists, engineers, and professionals.

  • Time Off and Pension: 30 vacation days per year and a private pension plan with a 20% company match plus loyalty incentives.

  • Mobility and Wellness: Flexible commuting budget via NAVIT (public transit, taxis, or car-sharing) and European gym and wellness access through Wellhub.

  • Office Perks and Equipment: Choice of state-of-the-art Windows or Apple laptop with full peripherals, stocked office snacks and drinks (plus a daily lunch canteen at our Darmstadt office), and regular team events.
