Summary

The Transaction Coordinator provides comprehensive operational and administrative support to a Senior Leader within a brokerage team. This fast-paced role involves managing documentation, tracking critical dates, preparing RFPs, coordinating market data, and ensuring all transaction details meet professional standards.

The Transaction Coordinator provides comprehensive operational and administrative support to a Senior Leader within a highly accomplished, industry-leading Brokerage team. This fast-paced role requires sound judgment, urgency, precision, and the ability to manage competing priorities. The successful candidate will be accountable for ensuring client communications, transaction details, and work product consistently meet the team’s exacting professional standards.


Role and Responsibilities

  • Support Senior Brokerage team members with documentation across all stages of the transaction process.

  • Track and report upcoming lease expirations and other critical dates to keep deals on schedule.

  • Prepare RFPs and monitor landlord responses.

  • Gather and coordinate real estate market data and broker information to help the Transaction Manager understand current market conditions.

  • Facilitate commission invoicing and tracking.

  • Oversee project file maintenance, ensuring all required documentation is properly captured in the database.

  • Process transaction paperwork — routing documents for signature, distributing fully executed documents, and acting as a liaison between multiple departments.

  • Review and verify monthly accounting reports for Transaction Management clients.

  • Prepare and track correspondence related to broker engagements and commission collection.

  • Assist with tracking key performance indicators (KPIs).

  • Perform other duties as assigned.


Education and Experience

  • Bachelor's degree is preferred in business administration, communications, real estate, or a related field.

  • Real estate license a plus but not required.


Skills and Knowledge

  • Strong problem-solving and organizational skills, with a keen eye for detail.

  • Excellent communication skills — able to comprehend, interpret, and clearly convey instructions, and to ask clarifying questions to ensure understanding.

  • Ability to write clear, professional reports and correspondence.

  • Comfortable responding to routine inquiries from clients, colleagues, and supervisors.

  • Working knowledge of financial terms and principles, including basic calculations such as percentages.

  • Solid analytical skills.

  • Advanced proficiency in Microsoft Word, Excel, and PowerPoint.

  • Ability to quickly learn and operate industry-specific databases and software.

  • Strong ability to multitask, collaborate across cross-functional teams, work under tight deadlines, plan resources efficiently, build lasting professional relationships, and prioritize competing demands.


Physical Requirements

  • General office environment.

  • Primarily seated computer work for up to 8 hours a day, with periods of standing (e.g., operating a copier, fax, or scanner).

  • Regular use of hands and fingers for writing and typing, along with clear verbal communication.

  • Ability to read, interpret, and communicate information and ideas both orally and in writing.

  • Regular use of visual abilities to read printed material, graphics, and computer displays.
