Summary

Assist the Property Manager in daily operations, tenant and vendor relations, and maintaining property appearance. Serve as a tenant liaison to ensure high satisfaction and address operational issues promptly.

Primary Purpose of Position: Assist the Property Manager with the timely completion and resolution of day-to-day operational issues, regularly interfacing with tenants and vendors, maintaining property standards and curb appeal, and serving as a tenant liaison to ensure a high level of tenant satisfaction.

Management: Assist in the development and mentorship of the Property Management Coordinator. Mobilize BXP employees and contracted service providers to meet customer expectations and portfolio goals. Use sound business judgment to identify and escalate potential issues to leadership.

Tenant Relations: Establish and maintain positive tenant relationships through proactive communication, meetings and follow-up. Coordinate and attend new tenant orientation meetings covering welcome packages, move-in requirements, property information, rules and regulations. Manage tenant move-ins and move-outs, including certificates of insurance, signage, move management, closeout and inspections. Coordinate annual fire warden training and evacuation drills. Respond to site emergencies and participate in company emergency response protocols.

Operations: Manage tenant work orders and coordinate completion with building staff and outside vendors. Assist with RFP development and execution of contracts and purchase orders. Monitor service contractors to ensure compliance with contract specifications and required insurance documentation. Assist with budgets, accruals, reforecasts and budget variance reporting. Review maintenance programs and recommend improvements to enhance operational efficiency. Oversee contractor insurance certificate files with the Property Management Coordinator. Partner with the Property Manager to identify additional tenant service income opportunities. Manage tenant electric meter readings, invoicing and annual reconciliation billings. Review and approve property invoices within the designated approval authority.

General Responsibilities: Conduct regular inspections of tenant spaces, common areas, base building areas and grounds to maintain property standards. Coordinate with external contractors and internal departments, including engineering, accounting, leasing and construction, to deliver seamless and cost-effective customer service. Support tenant improvement projects, meetings and building service shutdowns. Assist with CapEx project communications and logistics, vendor performance feedback, leasing showings and vacant space readiness. Partner with Marketing on tenant events and promotions. Maintain working knowledge of company databases and reporting tools, attend industry conferences as needed, and perform other duties and special projects as assigned.

Requirements and Qualifications: BA/BS degree in business administration, real estate or a related field required. 2-5 years of property management experience preferred. RPA or CPM coursework and LEED-approved courses highly desirable. Knowledge of operating costs, budgeting and expense control preferred. Proficiency with Microsoft Office required; JD Edwards experience preferred. Familiarity with ADA and OSHA preferred. Strong organizational, communication and interpersonal skills required, with the ability to prioritize multiple tasks, work independently and collaboratively, respond creatively to challenges, work under pressure and meet deadlines.

Physical Requirements: Primarily office-based work involving sitting, standing, computer use and movement between departments, with regular walking throughout properties and climbing stairs. Requires bending, reaching, writing, typing, talking and hearing. May occasionally require crouching, climbing stairs or ladders and working in varying indoor and outdoor temperatures. May be exposed to vibration, noise and dust. Requires the ability to read printed materials, graphics and computer displays and perform physical property inspections.

Salary Range: $79,310 - $107,000 base salary, plus an annual discretionary bonus. Compensation is based on role, skills, experience, qualifications, location and other job-related factors.
