Summary and responsibilities

Role overview

Summary

This role focuses on securing the accuracy and compliance of real estate transactions from loan approval to funding. The administrator meticulously reviews due diligence, partners with various stakeholders, and ensures adherence to bank policies, facilitating a seamless transition from loan closure to active disbursement.

Primary Responsibilities

Loan Documentation & Review

  • Review loan documents for accurate borrower names, rates, dates, dollar amounts, guarantors, and approved terms.

  • Ensure covenants match the approved Credit Presentation (CP) and are accurately reflected in Credit Lead.

  • Verify loan terms across the CP Narrative, loan documents, Credit Lead, and face pages.

  • Maintain and file loan documents in the appropriate O Drive legal folders.

Credit Lead & Reg B Compliance

  • Input new deals, borrowing entities, beneficial ownership information, profiles, exceptions, and required documents into Credit Lead.

  • Track and submit pre-closing exceptions; image documents to the correct Credit Lead levels.

  • Cancel/withdraw loans as needed.

  • Monitor new deals and Reg B deadlines, update records, process extensions/additional requests, send RM reminders, and maintain Reg B memos and documentation.

Loan Closing & Funding

  • Coordinate with Middle Office closers, RMs, underwriters, borrowers, attorneys, and closing agents.

  • Collect W-9s, coordinate signatures, scan and distribute originals, and manage ShareFile folders.

  • Review insurance reports and obtain items needed for clearance.

  • Process attorney fees, auto extensions, MIT requests, wiring instructions, and funding-related fees.

  • Review booked loans in BANCS for accuracy and coordinate accounting for canceled/withdrawn loans.

Post-Closing

  • Review post-closing exceptions and obtain outstanding items before first draw.

  • Maintain exception lists, update cleared items, and add requirements from new closings.

Appraisal & Environmental

  • Submit RIMS requests for appraisal and environmental services.

  • Obtain and communicate bids, coordinate with RIMS, track requests, and download completed reports.

Additional Duties

  • Prepare Good Faith Deposit instructions/invoices and other invoices.

  • Maintain Know Your Customer information for borrowers and related entities.

  • Order O&E reports, request flood certifications/recertifications, and assist with CORD as needed.

  • Monitor past-due loans and work with appropriate parties to bring loans current.

  • Provide loan statements and process payments and MIT requests.

  • Support LIBOR-to-SOFR/BSBY loan conversions.

  • Assist with customer inquiries, pipeline activities, and SME/Credit Analyst meetings.

  • Remind lenders to obtain required attorney-engagement approval before closing.

Systems

Credit Lead, BANCS, MIT, XNet, Aviva, Counsel Link, Salesforce, Power BI, ShareFile, RIMS, FedEx, DebtX, SyndTrak, and Land Title Ordering.

Qualifications

  • Bachelor’s degree preferred/required, with 2–4+ years of residential or commercial loan processing, documentation, or related experience; equivalent education and experience may qualify.

  • Basic knowledge of lending procedures, loan documentation, and real estate loan administration.

  • Knowledge of banking compliance, including applicable federal and state regulations.

  • Strong organizational, analytical, problem-solving, communication, and time-management skills.

  • Ability to manage multiple priorities, meet deadlines, exercise sound judgment, and work effectively with internal and external partners.

  • Proficiency with Microsoft Office, including Word and Excel.
