Summary
As a Workplace Occupancy Coordinator, you will join an on-site team to manage CAFM/IWMS systems, support strategic space planning, and prepare monthly occupancy reports for a pharma-based client. This role involves maintaining occupancy data, assisting with field verification, and supporting office move activities to align headcount demand with business objectives.
What You’ll Do
As a Workplace Occupancy Coordinator, you will join our on-site team supporting occupancy, space planning, and workplace move activities for a pharmaceutical client. Working alongside the Occupancy and Space Planning Lead, you will help manage CAFM/IWMS systems, maintain occupancy data, support scenario planning, prepare monthly reporting, and assist with field verification and office moves.
The role is based across client locations in Gaithersburg and Rockville, MD, with occasional work-from-home opportunities. You will represent MovePlan as an embedded resource, building strong relationships with client stakeholders, internal teams, and vendors.
Key Responsibilities
Manage and maintain CAFM/IWMS systems and occupancy data
Maintain occupancy metrics, dashboards, and reporting
Support monthly occupancy reporting using Excel and Power BI
Assist with space, block, stacking, and scenario planning
Collect, validate, and integrate data from multiple sources
Support data accuracy, integrity, and process improvement initiatives
Assist with asset tracking and management
Support workplace moves, coordination, and project management
Conduct periodic field verification across client locations
Communicate with stakeholders, vendors, and internal partners
Provide general project administration and coordination
Support workplace strategy and planning activities as needed
About the Environment
You will be part of an established team supporting workplace occupancy and move/change management activities across 8–10 campus locations in Gaithersburg and Rockville, serving up to approximately 5,000 occupants.
The role requires flexibility, initiative, strong organizational skills, and the ability to build relationships with new teams. Regular on-site presence is required, including occasional travel between campus buildings. Occasional nights and weekends may be required during workplace moves.
Essential Skills and Experience
Experience preparing or supporting occupancy reporting
Experience with space plans, scenario plans, stacking plans, or block plans
Experience with CAFM/IWMS, asset management systems, or strong aptitude to learn
Architectural, workplace, or space planning experience
Strong experience working with complex datasets, analysis, and reporting
Highly proficient in Microsoft Excel, Power BI, and Microsoft Office
Experience integrating and validating data from multiple sources
Comfortable using AI tools such as ChatGPT, Claude, and similar platforms
Experience with move coordination, event planning, or project support
Interest in workplace trends and evolving workplace practices
