Summary

The Property Support Associate provides operational support to onsite teams, ensuring consistent property management practices and data accuracy across the portfolio. This role involves managing resident ledgers, processing evictions and renewals, and completing month-end accounting responsibilities.

Position Summary

The Property Support Associate reports to the Senior Property Support Associate and partners closely with the Operations Support Team to execute company-wide operational initiatives and ensure consistent property management practices across the portfolio. This role serves as a key resource for onsite teams by providing operational support, maintaining data accuracy, ensuring compliance with company policies, and assisting with critical property management functions.

Key Responsibilities

Operations & Property Support

  • Perform ad hoc resident ledger corrections and account adjustments.

  • Monitor and manage Yardi dashboards, alerts, and workflows, including move-ins, move-outs, deposit accounting, and other operational exceptions.

  • Generate and distribute late payment notices and small balance letters.

  • Process security deposit accounting for former residents, ensuring accurate calculations, timely completion, and compliance with company policies and applicable regulations.

  • Coordinate eviction processing and maintain accurate tracking throughout the legal process.

  • Process monthly resident write-offs and maintain supporting documentation.

  • Submit delinquent accounts to collections on a monthly basis.

  • File and manage Rhino claims as needed.

  • Oversee the lease renewal process by:

    • Generating renewal proposals.

    • Sending renewal notifications to residents.

    • Monitoring accepted offers.

    • Preparing and distributing renewal lease agreements.

  • Monitor month-to-month leases and communicate necessary actions with onsite teams.

  • Complete month-end accounting responsibilities for assigned communities.

  • Conduct move-in audits to ensure lease documentation, resident charges, and ledgers are accurate, complete, and compliant with company standards.

  • Provide ongoing operational support, guidance, and training to onsite teams to promote consistency and best practices.

Reporting & Compliance

  • Complete weekly move-in audit reports and communicate findings.

  • Perform routine Rhino audits to ensure claim accuracy and compliance.

  • Identify operational discrepancies and recommend process improvements.

  • Maintain accurate records and documentation in accordance with company policies and procedures.

Industry Knowledge & Collaboration

  • Stay informed of industry trends, property management regulations, and emerging technologies.

  • Develop and maintain strong working relationships with onsite teams, corporate departments, and third-party vendors.

  • Collaborate with cross-functional teams to support operational initiatives and improve efficiency across the portfolio.

Qualifications

  • Bachelor's degree in Business, Real Estate, or a related field preferred; equivalent combination of education and a minimum of five (5) years of property management experience will be considered.

  • Proficiency with Microsoft Office Suite, particularly Excel and Outlook.

  • Experience using Yardi or comparable property management software required.

  • Strong analytical and problem-solving skills with exceptional attention to detail.

  • Excellent organizational, time management, and multitasking abilities.

  • Strong written and verbal communication skills.

  • Ability to prioritize competing responsibilities and meet deadlines in a fast-paced environment.

  • Proven ability to work independently while collaborating effectively with cross-functional teams.

  • Demonstrated commitment to accuracy, customer service, and operational excellence.
