Role overview
Summary
The Office & Property Operations Manager will oversee administrative, financial recordkeeping, vendor coordination, and day-to-day operational needs for a private office/residential property. This role requires exceptional organization, detail-orientation, and relentless follow-through to maintain accurate records, manage expenses, coordinate vendors, and oversee property and housekeeper management without requiring owner involvement.
Office & Household Administration
Receive and log packages and deliveries.
Coordinate shipments and returns.
Maintain vendor, warranty, equipment, service, and household records.
Order office, cleaning, and household supplies and maintain inventory.
Monitor recurring subscriptions and services.
Maintain calendars, schedules, and organized digital records.
Property & Vendor Management
Manage property maintenance administratively rather than personally performing repairs.
Maintain preventive and recurring maintenance schedules.
Schedule HVAC, plumbing, electrical, pest control, landscaping, appliance repair, and other vendors.
Obtain and organize bids when appropriate.
Coordinate contractors and track issues through completion.
Confirm work is completed satisfactorily.
Obtain invoices and receipts, record expenses, and maintain repair histories.
Typical workflow: Issue reported → Vendor identified → Scheduled → Tracked → Completion confirmed → Invoice documented → Expense recorded → Closed.
Housekeeper Management
Manage and oversee the full-time housekeeper.
Establish clear checklists, responsibilities, and reporting expectations.
Ensure household supplies remain stocked.
Conduct a weekly property walkthrough.
Review outstanding household and maintenance issues and coordinate follow-through.
Project & Contractor Tracking
Maintain visibility over every repair or project from request through closure:
Request → Scope → Bid → Approval → Scheduling → Work → Confirmation → Invoice → Payment → Recordkeeping → Closed
Weekly Owner Reporting
Provide a concise weekly summary covering:
Open and completed maintenance items
Upcoming vendor appointments
Projects awaiting bids or decisions
Significant expenses and bills requiring attention
Outstanding returns or refunds
Supply or household issues
Exceptions requiring owner attention
The goal is to remove operational details from the owners' plates, not create additional follow-up for them.

Traditional Facilities Manager
We are looking for someone who prefers organizing, documenting, scheduling, tracking, reconciling, coordinating, and finishing over personally performing repairs.
Ideal Experience
3+ years in office management, bookkeeping, operations, property administration, construction administration, family office, or similar work.
Strong QuickBooks Online knowledge.
Experience with accounts payable, expense tracking, receipts, and reconciliations.
Strong Excel or Google Sheets skills.
Experience coordinating vendors and contractors.
Exceptional organization, documentation, and follow-through.
Experience supervising support or household personnel preferred.
Comfortable managing multiple projects and deadlines.
Excellent written and verbal communication.
