Micro-Cap Solutions is conducting a confidential search on behalf of a growing national transportation data services company seeking an experienced Operations Manager – Client & Scheduling to lead two critical operational departments and help build more efficient, scalable processes across the organization.

Our client provides traffic data collection services to transportation agencies, engineering firms, and municipalities throughout the United States. This position will oversee teams responsible for client management, project estimating, and scheduling field operations, with a strong emphasis on process improvement, analytics, technology, and team development.

The Role

The Operations Manager will lead both the Client Management and Scheduling departments, ensuring projects move efficiently from approval through field deployment.

This is a hands-on leadership role for someone who enjoys solving operational challenges, developing people, working with data, and improving processes. The Operations Manager will also partner closely with internal development teams to identify, test, and implement technology and automation that improve efficiency and scalability.

The ideal candidate combines strong people leadership with an analytical mindset and is comfortable making decisions in a fast-moving environment where schedules, staffing, equipment availability, and client priorities can change quickly.

Key Responsibilities

Department & Team Leadership

  • Lead the Client Management and Scheduling departments
  • Supervise, mentor, and develop team members while creating a culture of accountability and continuous improvement
  • Establish priorities and manage workloads across both departments
  • Ensure projects progress efficiently through each stage of the operational process
  • Promote strong communication between Client Management, Scheduling, Operations, Processing, and Quality Control

Client & Project Operations

  • Support Client Managers with project execution and client communication strategies
  • Review project requirements and prepare accurate estimates based on scope, staffing, and operational considerations
  • Monitor active projects to ensure deadlines and client expectations are consistently achieved
  • Help resolve operational issues before they impact project delivery or customer service

Scheduling & Resource Management

  • Oversee scheduling of field data collection projects across multiple markets and crews
  • Balance staffing, equipment availability, project priorities, and client deadlines
  • Develop and improve scheduling processes to maximize resource utilization
  • Make informed decisions and adjust resources when priorities shift or unforeseen challenges arise

Process Improvement, Technology & Analytics

  • Identify operational bottlenecks and implement improvements that increase productivity and quality
  • Develop and monitor KPIs around turnaround time, scheduling efficiency, estimate accuracy, productivity, and departmental performance
  • Use operational data to identify trends, solve problems, and support decision-making
  • Partner with development teams to design, test, and implement tools that improve Client Management and Scheduling workflows
  • Drive adoption of new technology, automation, and systems that improve operational efficiency and scalability

Qualifications

  • 5+ years of experience in operations management, project coordination, scheduling, client services, or similar business operations
  • Proven experience leading and developing teams in a fast-paced environment
  • Strong organizational and project management skills with the ability to manage multiple priorities simultaneously
  • Excellent decision-making skills and sound business judgment
  • Strong analytical capabilities with a high level of comfort working with numbers, operational metrics, and reporting
  • Advanced technology skills and the ability to leverage systems as a core business tool
  • Demonstrated success improving business processes and operational efficiency
  • Experience managing scheduling or dispatch operations preferred
  • Experience with CRM, ERP, scheduling, project management, or workflow management systems preferred
  • Advanced Microsoft Excel skills, including data analysis and reporting, preferred
  • Experience developing SOPs, dashboards, and operational KPIs is a plus
  • Experience implementing automation or technology-driven process improvements is highly desirable

Travel

Approximately 25–30% travel is expected. This includes domestic travel as needed and international travel to overseas offices at least once annually, with the potential for additional visits based on business needs.

Pay: $80,000.00 - $110,000.00 per year
