Husch Blackwell is seeking a Client Delivery Specialist (Banking, Finance, & Real Estate Legal Assistant) for its Los Angeles, CA office. This position follows a hybrid schedule of 3 days onsite and 2 days remote.
The Client Delivery Specialist serves as the primary operational partner for assigned attorneys, managing workflow execution, cross-functional coordination, matter support, and administrative responsibilities while reducing attorney project-management burden. The role manages the full lifecycle workflow for assigned attorneys, anticipates needs, manages priorities, resolves administrative challenges, coordinates projects, tracks deadlines and milestones, provides status updates, assists with project plans and resource allocation, and handles special projects. The Specialist uses workflow management software to organize and manage work effectively.
Responsibilities include preparing and processing new matter forms, requesting conflict checks, opening new files, coordinating intake and engagement processes, maintaining documentation, and reducing repetitive attorney involvement. The Specialist assists with alternative fee arrangements, matter budgets, time entry, billing inquiries, and collections while partnering with billing teams. The role also coordinates client communications, manages sensitive information, and serves as a liaison between attorneys, clients, and internal departments.
The Specialist proactively manages attorney inboxes, prioritizes urgent communications, drafts or responds to emails as directed, and organizes correspondence for easy retrieval. Administrative duties include maintaining attorney contacts, tracking CLE and membership requirements, coordinating calendars and meetings, arranging travel and itineraries, processing incoming and outgoing mail and faxes, arranging messenger services, and operating standard office equipment. The position requires strict confidentiality, sound judgment, discretion, and the ability to remain calm under pressure.
The role prepares, edits, formats, and proofreads legal documents, correspondence, and presentations with a high degree of accuracy. Responsibilities include managing document version control, file organization, secure document storage, execution, filing, and distribution of legal documents, as well as typing, transcription, revision, and proofreading while meeting deadlines. The Specialist develops proficiency in assigned practice-area responsibilities, documents attorney preferences and workflows, shares knowledge and training tips, collaborates with Firm personnel, delegates tasks when appropriate, and participates in team meetings.
The Specialist identifies process improvement opportunities and leverages automation, dashboards, AI, and other technology tools to improve organization, tracking, accuracy, and service delivery. The position requires participation in applicable AI and technology training and researching emerging tools and best practices to recommend workflow improvements.
Requirements include a bachelor’s degree in a related field or equivalent professional and educational experience, 5+ years of relevant experience supporting organizational leadership preferably in professional services, and 3+ years of legal assistance experience. Candidates must have advanced Microsoft Office proficiency, strong communication and organizational skills, the ability to proactively identify and resolve issues with minimal direction, and the ability to handle highly confidential information. A minimum typing speed of 60 wpm is required, with transcription experience preferred. Strong judgment, discretion, accountability, adaptability, relationship management, multitasking, and the ability to perform effectively in a high-pressure environment are essential.
The California salary range for this position is $63,000-$128,000, depending on skills, experience, location, and other permitted factors. Discretionary bonus opportunities may be available based on individual and Firm performance.
