This role involves managing payroll and HRIS records, overseeing payroll tax and compliance reporting, and serving as the primary resource for employee inquiries.

Payroll & Benefits Administrator

Position Summary
ZooTampa is seeking a detail-oriented Payroll & Benefits Administrator to ensure the accurate, timely, and confidential administration of bi-weekly payroll and employee benefits. This role is responsible for payroll processing, HRIS maintenance, benefits administration, compliance reporting, and providing outstanding support to employees on payroll and benefits-related matters.

Key Responsibilities

Payroll Administration

  • Process accurate and timely bi-weekly payroll for all employees.

  • Maintain payroll and employee records within HRIS and payroll systems.

  • Administer timekeeping systems and audit employee timecards.

  • Manage PTO and wellness leave balances.

  • Process payroll deductions, garnishments, and authorized withholdings.

  • Prepare payroll tax filings and year-end documents (W-2, W-3, 1095) through Paycor.

  • Ensure compliance with payroll laws, policies, and recordkeeping requirements.

Benefits Administration

  • Administer health, retirement, and voluntary benefit programs.

  • Coordinate new enrollments, qualifying life events, COBRA, and Open Enrollment.

  • Maintain benefits records and payroll deductions.

  • Reconcile benefit invoices and coordinate payments with Finance.

  • Serve as the primary contact for employees and benefit vendors.

  • Generate reports, support audits, and recommend process improvements.

  • Ensure compliance with applicable benefits laws and regulations.

Compliance & Reporting

  • Prepare and submit EEO-1 and other required workforce reports.

  • Respond to unemployment claims, employment verifications, and regulatory requests.

  • Support payroll, tax, and benefits audits.

  • Maintain confidential employee records in accordance with privacy and retention requirements.

  • Identify opportunities to improve payroll, benefits, and HRIS processes.

Human Resources Support

  • Prepare employee ID badges and recognition items.

  • Process payroll-related recognition entries.

  • Provide administrative support to the HR team.

  • Respond to employee payroll and benefits inquiries.

  • Participate in HR projects and perform other duties as assigned.

Qualifications

Education & Experience

  • High school diploma or GED required; Associate's or Bachelor's degree in Human Resources, Business Administration, Accounting, Finance, or a related field preferred.

  • 3–5 years of payroll, benefits, or HR experience.

  • Experience with HRIS, payroll, and electronic timekeeping systems; Paycor experience preferred.

  • Experience with payroll tax filings, year-end reporting, and government compliance reporting preferred.

Knowledge, Skills & Abilities

  • Knowledge of payroll administration, payroll taxes, wage and hour laws, and employee benefits.

  • Familiarity with FLSA, FMLA, ADA, ACA, COBRA, HIPAA, ERISA, Section 125, and EEO reporting requirements.

  • Proficiency in Microsoft Office, especially Excel.

  • Strong analytical, organizational, and problem-solving skills with exceptional attention to detail.

  • Excellent communication, customer service, and interpersonal skills.

  • Ability to manage multiple priorities, meet deadlines, maintain confidentiality, and exercise sound judgment.

  • Demonstrated integrity, accountability, and commitment to accuracy.

Physical Requirements

  • Ability to sit for extended periods while performing computer-based work.

  • Ability to operate standard office equipment.

  • Effective communication in person, by phone, and in writing.

  • Availability to work occasional evenings, weekends, or special events as needed.
