The Client Services Personal Assistant provides high-quality administrative, secretarial, and client support to Partners and Fee Earners within the Construction and Real Estate Team. The role focuses on delivering exceptional client service, coordinating projects, managing communications, supporting financial processes, and ensuring efficient day-to-day operations while maintaining compliance with firm policies and regulatory standards.
Key Responsibilities
Project Coordination
Coordinate administrative support for client projects.
Establish processes for client matters with Partners, Fee Earners, and clients.
Support business development activities, presentations, pitches, and events.
Identify and implement process improvements to enhance client service.
Client Relationship Management
Manage client correspondence and communications.
Maintain accurate client information in the CRM system (InterAction).
Arrange client meetings and respond to client inquiries.
Ensure engagement terms are completed when opening new matters.
Communication
Handle internal and external telephone inquiries and messages.
Liaise with business support teams on behalf of Partners and Fee Earners.
Coordinate coverage during planned absences.
Financial Support
Assist with time recording, billing, invoices, expenses, and credit control.
Process invoices and expenses using firm systems.
Generate financial and time reports.
Work closely with Finance to support billing accuracy and efficiency.
Administrative Support
Coordinate work allocation and monitor task completion.
Manage calendars, meetings, travel arrangements, room bookings, and catering.
Oversee file opening, maintenance, and record management.
Coordinate printing, scanning, filing, and document handling.
Ensure priorities and deadlines are effectively managed.
Additional Responsibilities
Provide support across the Client Services team as needed.
Assist with document updates, file openings, conflict searches, engagement letters, and risk assessment forms.
Maintain accurate information in Outlook, InterAction, and 3E.
Support legal and business resource teams while ensuring compliance with SRA regulations and firm policies.
Qualifications & Skills
Typing speed of at least 60 words per minute.
Advanced Microsoft Office proficiency.
Experience with practice management and CRM systems.
Strong organizational, administrative, and multitasking skills.
Excellent written and verbal communication.
Customer-focused with strong interpersonal skills.
Solutions-oriented, proactive, and able to work independently.
