Summary
This role focuses on leveraging AI to automate real estate transaction workflows, manage documents, and extract data from manufacturing lease portfolios. The manager will build analytical models, train staff on AI tools, and oversee system integrations to improve efficiency and reduce costs.
Core Responsibilities
JOB DESCRIPTION
Transaction Workflow Automation
Build and maintain AI‑powered workflows that automate repetitive tasks such as document intake, data entry, compliance checks, and deadline tracking.
Integrate AI tools with internal data repositories, e‑signature platforms, and transaction management systems.
Identify bottlenecks in the transaction lifecycle and deploy automation to reduce turnaround time.
Intelligent Document Management
Use AI to extract, classify, and validate data from contracts, disclosures, inspection reports, and lender documents.
Ensure accuracy of AI‑generated summaries and redlines
Create structured storage repositories for contracts, addenda, and other legal notices with attached meta-data to allow rapid retrieval.
Lease Data Intelligence and Automation
Implement AI tools that abstract data from complex industrial leases, amendments, and site‑specific addenda.
Automate recurring tasks such as rent escalations, critical date tracking, renewal notifications, and CAM reconciliation workflows.
Integrate AI systems with lease administration platforms and internal data repositories such as HR systems and external data repositories such as utilities.
Maintain AI‑assisted filing tools for legal documents, abstracts and landlord/tenant correspondence.
Portfolio Analytics and Predictive Modeling
Build dashboards and models that forecast lease and overhead costs across multiple business units and/or geographical regions.
Support
Train staff on how to use AI tools effectively.
Serve as the primary point of contact for troubleshooting AI‑related issues.
Create user guides, best‑practice workflows, and training materials.
System Integration & Vendor Management
Oversee implementation, testing, and optimization of AI tools
Coordinate with IT to ensure secure and reliable system performance.
Required Skills & Qualifications
Strong understanding of AI tools for document processing, workflow automation, and analytics.
Ability to translate operational and financial needs into technical requirements.
Familiarity with Sharepoint, e‑signature tools, and transaction management (Costar) software.
Strong communication skills and comfort training non‑technical users.
Background in data analytics, industrial operations, or process engineering
Experience with prompt engineering or AI model customization.
High attention to detail and commitment to compliance.
Preferred Qualifications
Experience in industrial real estate, manufacturing operations, lease administration, or corporate real estate.
Background in corporate real estate strategy
Experience with API integrations or low‑code/no‑code automation platforms.
Success Indicators
